Newsletter and/or Web Banner Advertisements SOP - Approved September 23, 2014

Newsletter

Prior to publication of the July and January editions of the KWWOA newsletter,  advertisements will be solicited to offset the cost of printing and distributing the newsletter, utilizing the pricing referenced below for comparable sized ads:

Full page – $625.00  – Approximate size 7 ½ x 9 ¾”

½ page – $312.50 – Approximate size 3 3/4 x 9 ¾”

¼ page – 218.75 – Approximate size 3 7/5 x 4.88”

Business Card – $125.00 – Approximate size 3 ½ x 2”

The prices referenced above are for color and black and white advertisements.

The vendor may purchase the advertisement through the website, paying either by check or credit card, or can be invoiced.  The Member Services Director will work with the vendor to obtain the exact copy, size and artwork in an acceptable format for the publication.

KWWOA will have the final say on the size and placement of the advertisement based on the content/layout of the newsletter and the copy provided.

Upon receipt of the extra copies of the newsletter from the printer, several copies will be forwarded to each advertiser along with an invoice, if appropriate.

Upon receipt of payment, a copy of the invoice and check will be forwarded to the KWWOA State Treasurer for deposit.  The invoice will contain the date the check was received, the check number and amount.   The check will be stamped on the back with “For Deposit Only”, the KWWOA bank name and account number, prior to it being mailed to the KWWOA State Treasurer.   If the advertisement is paid for via credit card, the following information will be captured on a PayPal transaction report supplied periodically for the Treasurer:  the date of the credit card payment, Buyer’s name, Transaction Number, what the payment is for and the amount.

Website Banners

KWWOA offers banner advertising on its website at www.kwwoa.org.  Each advertisement will link directly to a website of the advertiser’s choosing.

All ads will be a standard 468 x 60 pixels. File formats supported include jpg, gif (static and animated) and png. Ads must be less than 65K in size.

The price for a banner advertisement is $500 per year.

Louisville Web Group (LWG), the company responsible for our website, can create a banner ad (basic rate is currently $100.00 per hour).  The complexity of the advertisement will drive the cost of the banner, and LWG will be happy to provide the vendor with an estimate.  There is the ability to request such on the KWWOA website.

KWWOA reserves the right to deny any advertiser whose products do not benefit its members.

The Vendor will provide KWWOA with the banner artwork and link in the requisite format.  A copy of the artwork will also be retained by KWWOA.

KWWOA will forward the artwork to LWG or provide the advertiser’s contact information, should they wish to have a banner created. 

If the vendor elects to have LWG prepare a banner, LWG will notify KWWOA of the date the advertisement is loaded onto the site.  If the banner was not purchased through the website, the Member Services Director will invoice the vendor for the advertisement and notify of the date the banner will be removed from the site. LWG will invoice the advertiser for the banner development cost and track the expiration date.
