FAQ

 

1.      What information is required to set up an account on the KWWOA website?

 

The information is the basically the same as what was reqired under the old site and includes personal information on how we can reach you to send KWWOA materials, such as you membership card, newsletters, training information, class confirmations, etc.

 

 

 

We are also asking for your Operator Certification, Agency Interest Number so that we can automatically add this to the roster when reporting training and so your employer can reference it to pay your dues. 

 

 

 

As with many websites, an email address and password are now required to help protect the site and your information.  If you don’t have an email address, just create/enter a bogus email address and password for your use and then simply check the box advising that you want us to mail your KWWOA materials.  Write this information down though, as this email address/password will be what gives you access to our site from now on.  If you have an email address, you can use the same password you use to access it or something different.  Even though you have a valid email address, you may elect to have your KWWOA information sent hard copy.

 

If you submit a hard copy membership application and include an email address, this will be used with a generic password of "kwwoa_password".  If you submit a hard copy application and do not have an email address, we will use your first initial, last name at kwwoa (i.e. John Doe - jdoe@kwwoa) and the generic password of "kwwoa_password".  It is highly recommended that once you receive your membership card, that you log onto the site and check the accuracy of your personal information and change your password. 

 

 

 

2.      Why does the site now require an email address/password?

3.      Is a password required to simply look at the site?

 

No, only if you wish to become a KWWOA member, register for training, participate in the Operator Blog, etc.

 

 

 

4.      Do I have to be a member to attend KWWOA training sessions or the Annual Conference?

 

No, but you will have to register on the site and pay a fee for the training you select.

 

 

 

5.      Can my employer pay my membership fees?

 

Yes, but to do so you will have to first register on the site and give them your Operator Certification “Agency Interest Number”  if certified or “Unique KWWOA Identifier” if not.

 

 

 

6.      What is an “Agency Interest Number”?

 

It is a unique number assigned by the Division of Compliance Assistance when an operator is first certified.

 

 

 

7.    What is a “Unique KWWOA Identifier?”  

 

Any facility employees, Associate Members, KLA Members that are not certified, will be issued a "Unique KWWOA Identifier."  This number is assigned when you first create an account on the site, and as is used thereafter to link purchases to your account.  If your employer registers/pays your membership, they will need this number when filing the online application.  When they enter your number, your personal information will come up for confirmation.   Retain this number as it will be used each time you/your employer wants to access your account.

  

8.       If I move, obtain a new phone number, employer, etc., how do I go about updating my personal information on the site?

 

This is one of the benefits of the new site, in that you may go online at any time and change your account information.  By allowing operators to update their own information, hopefully KWWOA will see less returned mail or invalid email addresses.

 

 

 

After logging in with your email address and password, the “My Account” page will appear on your screen.  Simply click on the “Edit” tab below the “My Account” and then select the “Operator Profile” and add your new address, phone, etc.  If you want to change your email account and/or password, you can find this information on the “Account” tab.  Always remember to hit the “Save” button at the bottom on the page before exiting the page so the information will be changed.

 

 

 

9.       May I or my Employer register on the KWWOA website for membership or training, and then mail in a check for payment?

 

Yes, you simply indicate at checkout that this is how you want to pay, so that we will be on the lookout for the fee.  You then mail a check, money order, or cashier’s check to KWWOA, P.O. Box 700, Lawrenceburg, KY 40342 and reference the order number given at the time of checkout.  If you are registering for a training class and are not a member, your training hours will not be provided to the Division of Compliance Assistance until the fee is paid.  It is your responsibility to remember to submit this fee in a timely manner as hours for attendees will be submitted within two weeks of the class.

 

 

 

10.   Is it possible to pay online for a KWWOA membership or training with my credit or debit card?

 

Yes, you simply indicate your desire to do so at check out and follow the prompts provided.  This transaction is done through PayPal, but you are not required to have an account on their site unless the purchase is over $1,000.00.

 

 

 

11.   When I renew my membership or register for training, will I receive of a confirmation of this purchase?

 

Yes, if you have provided us with a valid email address.   If registering for training, you will also receive a class reminder several days before the class.  This email may also be beneficial to share with your employer, if they are paying the fee and/or you are trying to obtain reimbursement.

 

 

 

You, or an Employer making multiple registrations, may also print a copy of the order at the end of the online order process.  On the page that says “Order Complete,” you will see reference to “view your current order status ”.  If you click on this highlighted area a copy of the order, with an order number referenced, will come up and can be printed your records or use by your Employer for payment purposes.

 

 

 

12.   When an employer logs on to pay for multiple memberships,  trainings,  etc., can they do so without knowing the operator’s Agency Interest Number or Unique KWWOA Identifier?

 

No, they must know whether the employee has registered on the site and the employee’s Agency Interest Number or the Unique KWWOA Identifier.  If the certified operator can advise the employer that they have not registered, and provide the Agency Interest Number and personal information, then the employer can create the account.  If noncertified personal have not registered, then a Unique KWWOA Identifier can be created by the system as their personal information is added by the employer. 

 

 

 

13.   When the employer wants to pay for multiple operator purchases with one check, will an invoice be generated once the order is completed.

 

When the Employer goes through the entire order process, they can print an invoice on the last screen.

 

 

To add multiple operators, you must enter each operator’s Agency ID Number or KWWOA Unique Identifier (their name will automatically populate in the fields) and then hit the “Add Operator” button.  Once this button has been selected, the operator’s name will appear at the bottom of the page.  This is a means of double checking the order before you move the purchases to your shopping cart. 

 

 

 

14.   May I/Employer register multiple people for the Annual Conference?

 

Yes, both accounts can register/pay for multiple people to attend the Annual Conference.  The only issue is if you go in under your individual operator account, it will assume you are registering as well as any other operators that you add, unless you uncheck the box that says "Buy a Conference Registration".

 

 

 

15.   May I/Employer register multiple people for training? 

 

No, you cannot go under one account and register multiple people as the system is checking each particular account for membership to determine the cost of the training (free or the specified price).
